Cleanup for the Organization

There were over 76,000 contacts in the system when we began working on cleaning up the data. Below is the list of what we've done:

  • Standardize Donation Names
  • Deal with Anonymous Households - including those with donations attached
  • Deduplicate the entire Contact list
  • Adding people at the same address to a household. (There are undoubtedly contacts what don't belong in the household. Some were added because they don't have an address of their own. I didn't learn about this practice until recently, but we still needed to combine people who live at the same address into a household.)
  • Memberships: Deduplicated the list of memberships. Each member will have ONE membership record going forward, with a shifting end date. The plan is to use the end date for annual requests for updated information from our members.)
  • Using FormAssembly Forms to put new contacts into households.
  • Set up Batch Gift Entry with Joanna. This will streamline the donation entry that comes in outside of Classy.
  • Set up a FormAssembly form that allows constituents to update their own information in Salesforce.

We've revised all the forms that are in use through FormAssembly, and will be adding a couple of new ones, per staff request.
FormAssembly forms open the option of automation to complete constituent information. My automation expert colleague, Bhim Raj Mainali has created the automation we have so far asked him to do.

Salesforce and Supporting Apps

I can list the supporting apps that you have in your "Installed Packages" list in Salesforce. I have not been called upon to create or support the following: Email Service, SMS Service, WSA Website, OneCause/YourCause, Google Drive/G-Suite, Canva, or any of the Social Media listed.

I'll make clear which of these installed packages I know about, have done troubleshooting on, or the ones that belong to the Nonprofit Success Pack.

Apsona for Salesforce:  $435/year for up to three users
Apsona Dedupe and Match: $570/year for up to three users
Apsona Batch Gift Entry for Nonprofits: $570/year for up to three users

Declarative Lookup Rollup Summaries: Free

FormAssembly: (Not sure what you  are paying, but the version that allows for pre-filling and datasets is about $1600 a year. FormAssembly has recently changed their entire pricing structure, but they "grandfathered" in all their previous nonprofit customers, which includes you.)

Free Salesforce Products: Nonprofit Success Pack, Relationships, Power of Us Hub, Volunteers for Salesforce, Contacts & Organizations, Recurring Donations, and Households.

Support from your partners

Apsona has a weekly open-mic for all their customers to ask questions and get answers. This is the support they provide to all their customers. There is also a weekly Partner meeting, which I can attend if we don't get the answers we need from the Customer Hours. They also have extensive how-to articles on their website.

Classy allows us to log a case with them, and they have been responsive when we've asked for help. That said, there is extensive Classy documentation on their site, but I didn't find it particularly helpful.

Declarative Lookup Rollup Summaries (DLRS) has a web page in the Trailblazer Community, where you can get answers to questions. I've also had quite a bit of experience with DLRS, and have been able to set it up and use with without outside support.

Other installed packages were included before my tenure as your consultant, and my understanding is that they are either working properly, or not working at all, but which ones are which, I'm not in that loop.

Location of Current Docs, training docs, plugins/integrations with other apps/services.

All Salesforce documents are available in the Basecamp "Docs&Files" section. Some of the how-to documentation may also be found on a particular task, but I've tried to make sure all these documents are available in Basecamp, and can be downloaded at your convenience.

I'm not sure what is meant by "implementation 'rules'." Integrations with other apps and services are found in "Installed Packages" in Setup.

I intend also to upload all the digital guides I have created for the various staff members, putting them in a folder in Docs&Files.
