Create a Contact - One at a time

Click the arrow next to the name

Then Click New Contact

Or, click on Contacts and this view will appear

  • Notice the List that comes up: Recently Viewed (BY YOU, not anybody else)
  • Notice the little pushpin next to the Recently Viewed Title.
  • Click the down-arrow to see what other views are available

To create a new contact here, you can click the New button.

  • Notice that you can check the box next to a contact's name
  • See the Add to Campaign button? You can add a group of contacts to a campaign with this button.
  • Send List Mails allows you to send an email to a GROUP of contacts.

Create a Contact

We have been keeping contacts in the StayClassy Record Type because so many of our donors are Classy donors. This split on the contact record should be revisited to decide whether we actually need the other record type.

Fill in the Contact Fields

  1. Notice that the Last Name field is required
  2. Title is optional but helps to identify contacts at businesses and organizations
  3. The Account Name will be prefilled with the Household unless our only relationship is with their business, government agency or supporting nonprofit organization.
  4. Note the VIP Do Not Contact. This is for people who donate but are also very high profile. They typically do not want the usual email marketing or telemarketing.
  5. Fill in as many fields as you have information for. It takes a bit of time, but in the long run, it prevents reporting headaches in the future.

Check the boxes

  1. Classy Contact means they are registered at Classy and donate through Classy pages and campaigns.
  2. Email Opt Out mean they do not want to receive emails from us.
  3. Country Region is a picklist that divides the US into areas. This is useful for sending out event invitations and fundraising events.
  4. Category: Places the individual either as someone with WS or related to a person with WS.

WS Contact and Address fields

  1. We have two gender fields. These should be merged into one. It makes sense to keep the Classy version, since Classy uses it and we use Classy. But all the folks with the Standard field should have their gender designation transferred over to the Classy version.
  2. Notice the Bad Address and Do Not Mail checkboxes. When mailings are coming back as "Recipient Unknown," mark this as a bad address. When someone opts out of getting snail mail, check the Do Not Mail box.
  3. We can search addresses by entering the street address. But be careful to match with the proper city and state.

Classy Information

  1. This information typically comes when a contact donates through Classy.
  2. The CiviContactID is not connected to Classy but comes from a previous database and should be removed from the page.
  3. Note the Family Support Groups. Are these coming in from Classy? To Be Investigated.
  4. Note, also the small grey circle with an "i" in it . This is a helptext indicator. Always read those for good info about the field in question.
